1The Programme
1.1The Whitegold Media Client Referral Rewards Programme (the "Programme") rewards existing WGM clients who refer new clients to us.
1.2By participating in the Programme, you agree to these Terms & Conditions. If you do not agree, please do not participate.
1.3These terms are supplementary to, and do not replace, WGM's standard Terms & Conditions of service, which continue to apply to all bookings.
2Who may participate
2.1The Programme is open to any person or business who has previously booked and paid for a WGM service (a "Referrer").
2.2The following are excluded from earning rewards under this Programme:
- WGM employees, contractors, and their immediate family members;
- Influencer or creator partners operating under a separate WGM partnership agreement (whose referrals are governed by that agreement, not this Programme);
- Any person WGM has previously removed from the Programme.
2.3Participation is free. No purchase is required to make a referral, but rewards are only earned as set out in clause 4.
3What counts as a valid referral
3.1A "Referred Client" is a person or business who:
- has not previously booked with WGM and has no active enquiry with us at the time of referral;
- is linked to the Referrer through one of the attribution methods in clause 3.2; and
- goes on to confirm a booking with WGM in their own name and at standard WGM pricing terms.
3.2A referral may be attributed to a Referrer in any of the following ways:
- the Referred Client enquires and gives the Referrer's personal referral code (issued by WGM on request);
- the Referrer names the Referred Client to WGM at or before the enquiry stage; or
- the Referred Client names the Referrer at or before the quote stage.
3.3Attribution must be established before a quote is accepted. Referrals claimed after a booking has been confirmed will not qualify. We cannot retroactively credit a referral once the booking process has concluded.
3.4Referral codes are personal to the Referrer. They may be shared privately or publicly, but may not be advertised in a way that misrepresents the Referrer's relationship with WGM (for example, posing as a WGM employee, reseller, or official channel).
3.5Where more than one Referrer claims the same Referred Client, the referral will be credited to the Referrer first recorded in WGM's CRM (a valid referral code takes precedence over a verbal or written claim). WGM's records are decisive.
3.6A Referrer may refer an unlimited number of Referred Clients. Each Referred Client can only be credited once, to one Referrer.
4When the reward is earned
4.1A referral reward is earned only when all of the following have occurred:
- the Referred Client's booking is confirmed in writing;
- the project is completed or the booking is otherwise fulfilled; and
- the Referred Client has paid their balance in full.
4.2No reward is earned for enquiries, quotes, unconfirmed bookings, or bookings that are cancelled or where payment is not completed — regardless of the reason for cancellation or non-payment.
4.3Rewards accrue as reward points credited to the Referrer's account in WGM's CRM. The reward per qualifying referral is R200 in points per confirmed and fully paid booking, or such other value as WGM publishes from time to time. The reward value applicable is the value in force on the date the Referred Client's booking is confirmed.
5Rewards and redemption
5.1Reward points may be redeemed only as a discount against future WGM bookings. Points have no cash value, are not transferable, may not be sold or exchanged, and cannot be redeemed for cash, refunds, or third-party goods or services.
5.2Redemption is applied manually by WGM to the relevant invoice on request. There are no discount codes; please mention your intention to redeem points before your quote is finalised.
5.3Points may not be applied retroactively to invoices already issued or paid, and may not be combined with any other discount, promotion, or partnership rate unless WGM agrees in writing.
5.4Points expire 12 months after the date they are credited if unredeemed. Expired points are forfeited without compensation. WGM will make reasonable efforts to remind Referrers of points nearing expiry, but the responsibility to redeem in time rests with the Referrer.
5.5Points cannot reduce an invoice below the value of any non-refundable booking fee, disbursements, or third-party pass-through costs.
6Fair use and disqualification
6.1The following will result in forfeiture of rewards and may result in removal from the Programme:
- self-referrals, including referrals of one's own business, alter egos, or entities under common ownership or control;
- referrals of existing WGM clients or active enquiries;
- fabricated, fraudulent, or collusive referrals;
- spamming, unsolicited bulk messaging, or misrepresenting WGM's services or pricing when making referrals;
- any conduct that, in WGM's reasonable opinion, abuses the spirit of the Programme.
6.2WGM may withhold, reverse, or cancel any reward pending investigation of suspected abuse.
7Personal information (POPIA)
7.1The preferred way to refer someone is to share your referral code with them directly, so that they contact us themselves and quote it. In this case, you do not share anyone's personal information with us, and no consent from the Referred Client is required from you.
7.2If instead you choose to give WGM a person's name and contact details directly, you warrant that you have that person's consent to share those details with us for the purpose of us contacting them about our services.
7.3WGM processes referral information in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA) and our Privacy Policy. We will use the Referred Client's details only to respond to the referral and manage any resulting enquiry or booking.
7.4A Referred Client may object to this processing at any time, in which case their details will be removed and any related pending referral will lapse.
7.5Referrers will not be given access to a Referred Client's booking details, project information, or payment status beyond confirmation that a reward has (or has not) been earned.
7.6Communications. By participating in the Programme, you agree to receive service communications relating to your rewards account — referral confirmations, points balances, expiry reminders, and redemption confirmations. These are necessary to operate the Programme. Marketing communications are separate and are sent only if you have expressly opted in; you may withdraw marketing consent at any time via the unsubscribe link in any marketing email, without affecting your Programme participation or accrued points.
8General
8.1WGM may amend these terms, adjust reward values, or suspend or terminate the Programme at any time by updating this page. The version published on this page at any given time is the version in force. Changes do not affect rewards already earned under clause 4 before the change takes effect.
8.2Nothing in these terms limits any right you have under the Consumer Protection Act 68 of 2008 that cannot lawfully be limited.
8.3In the event of any dispute regarding attribution, qualification, or reward calculation, WGM's CRM records will be the primary reference, and WGM's decision, acting reasonably and in good faith, will be final.
8.4These terms are governed by the laws of the Republic of South Africa.
